How to track GCash payments for a car rental business

Verify before you confirm, and say who verified it

A screenshot is a claim, not a payment. Screenshots can be edited, sent twice, or be from a transfer that later reversed. That is not a reason for suspicion of your customers. It is a reason to have one step in your process where somebody looks at the actual GCash or bank notification and says "yes, this arrived."

Make that a distinct step:

  1. Customer sends payment and the receipt.
  2. Someone checks it against your own account, not against the screenshot.
  3. Only then is the booking marked as paid.

If more than one person handles money, record who verified it. Not out of distrust. It is what lets you resolve a discrepancy without a conversation about who did what.
